Subject:                      RFP-06-06 – Furniture layout, procurement, and installation services – award to Library Interiors of Florida

                                    Resolution Authorizing Execution of an Agreement with Library Interiors of Florida, Inc. to provide furniture layout, purchase, and installation services for the City of Leesburg pursuant to RFP-06-06

Staff Recommendation:

Staff recommends authorizing an agreement with Library Interiors of Florida, Inc. to provide furniture layout, purchase, and installation services for the City of Leesburg pursuant to RFP-06-06.

Analysis:

The purpose of the request for proposal was to select a vendor to provide professional services to the library in the selection and supply of furniture and fixtures in the new library building.  Library Interiors of Florida will work with the Library Director in the furniture and fixture layout, selection, procurement, and installation for the new library.  The actual purchase of furniture pieces will be done at a future date using established State of Florida purchase agreements.

The Purchasing Division issued RFP-06-06 and on May 31, 2006 received five responses.  The evaluation committee, consisting of City staff and Friends of the Library members evaluated and ranked each of the proposals.  The evaluation committee ranked Library Interiors of Florida the highest using a point system.  Library Interiors of Florida submitted a complete and responsive proposal package.

Options:

1.  Approve the resolution authorizing execution of the agreement with Library Interiors of Florida, Inc., or 

2.  Such alternative action as the Commission may deem appropriate.

Fiscal Impact: 

This resolution has no direct fiscal impact.  The agreement is to contract with the vendor to provide professional services to the City.  The cost of these services will be included in the furniture and fixture unit pricing.  The purchase of furniture and fixtures will be made through Library Interiors of Florida using established State of Florida purchase agreements.  Those purchases will be presented for action to the commission at a future meeting(s) as the pieces are selected.  The library has an approved 2005-2006 budget for the purchase of the furniture and fixtures.
