Subject:                      Resolution authorizing  the PBX phone systems annual maintenance agreement

 

 

Staff Recommendation: 

Staff recommends approval of the new annual PBX phone systems maintenance agreement with Black Box Network Services.

 

Analysis:        

Current annual State of Florida contract pricing for PBX phone systems maintenance  with vendor Southeastern Telecom is $28,307.00 per year. When maintenance has been required, response times have been slow.  As a result, staff began to consider alternatives. Black Box Network Services can consistently provide a much higher level of service at a cheaper price. After considerable negotiations, Black Box Network Services has agreed to provide annual PBX phone systems maintenance for $18,816.00, resulting in an annual savings of $9,491.00.

 

Options:

1.  Approve the maintenance agreement with Black Box.

2.  Such alternative action as the Commission may deem appropriate

 

Fiscal Impact: 

This item was funded for $28,000.00 in the fiscal 2008 budget. Fiscal impact will be a savings of $18,816.00.

A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF LEESBURG, FLORIDA AUTHORIZING THE MAYOR AND CITY CLERK TO EXECUTE AN AGREEMENT WITH BLACK BOX NETWORK SERVICES TO PROVIDE ANNUAL MAINTENANCE FOR CITY PHONE SYSTEMS; AND PROVIDING AN EFFECTIVE DATE.

 

BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF LEESBURG, FLORIDA:

 

            THAT the Mayor and City Clerk are hereby authorized to execute an agreement  with Black Box Network Services, whose address is 17225 Emerald Chase Drive, Tampa, FL 33647, for annual PBX phone system maintenance.

 

             THAT this resolution shall become effective immediately.

 

PASSED AND ADOPTED by the City Commission of the City of Leesburg, Florida, at a regular meeting held the 22nd day of October, 2007.
