Subject:                      Resolutions authorizing Execution of Contract Amendments with the Professional Engineering Firms Listed

Staff Recommendation:

Staff recommends adoption of the attached resolutions authorizing execution of a Second Amendment to the Agreement for Professional Services with each of the Engineering firms listed below.

Analysis:

The existing agreements list the engineering services to be provided by the firm on a continuing basis as needed by the City of Leesburg.  Each project will have a scope of work and task order with a price quote for the required services.

This contract amendment extends the term of the existing agreements with each of the following firms for one additional year.

· SMW Geosciences

· Jones Edmunds and Associates, Inc.

The original agreements are the result of RFP-04-011.  The original Request for Proposal provided for an extension of the agreement for two additional one-year periods.  The City, in agreement with the individual firms, is exercising the option to extend the existing contracts.  This will be the final extension of these agreements.  The Purchasing Division will issue a new RFP in 2009 to contract with firms to provide professional engineering services in the different disciplines.

Options:

1. Approve the attached resolutions authorizing execution of second contract amendment with each of the engineering firms, or
2. Such alternative action the Commission may deem approriate. 

Fiscal Impact:

Project related assignments will be funded from appropriate capital funding sources, as provided by the adopted budget. Non-capital related assignments will be funded through appropriate Engineering Services lines as provided by the adopted budget.  Future budget requests will include appropriate requests for funding.
